Applicant/Institution Withdraw Regulations
 
The Intern and Resident Matching Program herein publishes the specific deadline dates for application, selecting/matching, and withdrawals from the matching program. These deadlines are to be rigidly adhered to by applicants and institutions. Please note that rank order fees are non-refundable to withdrawn applicants. It is required for applicants who wish to withdraw, to notify the institutions to which they have applied.
 
Unless there are unusual and unexpected circumstances or hardship which are beyond the applicant's or institution's control, it shall be considered a violation of the matching program's rules, and commonly expected professional ethic standards, for an institution or an applicant to withdraw from the matching program after the
published deadline for withdrawal. Further, it is expected that applicants will accept a position for which they have been matched, unless they have properly withdrawn from the matching program.
 
If an applicant or institution has reason to withdraw from the program after the published matching program deadline for withdrawal, they should immediately notify the matching program administrator who shall, in consultation with the AAVC Executive Committee, determine if the reason for withdrawal is acceptable. If the reason for withdrawal is found to be acceptable, no punitive action shall be taken by the matching program.
 
If an institution is unable to accept a matched intern or resident after the withdrawal deadline for acceptable reasons, such as inadequate funding for said positions, the institution shall submit a written statement requesting withdrawal for reasons of unforeseen under-funding, and the Executive Committee shall grant the requested withdrawal without punitive action.
 
If the Executive Committee finds that an applicant or an institution has withdrawn from the matching program in violation of the rules of the matching program, said applicant or institution shall not be permitted to participate in the matching program for a period of up to three (3) consecutive years following the year of their violation.
